KC Events Calendar Guidelines
LOADING IN EVENTS
It is always daunting to use a new function to add information - they are all unique unto themselves. Here is a quick reference to help you easily load events into the KC Events calendar....
- Title: The NAME of your event
- URL: This will fill in with the name of your event automatically... you do not have to add anything.
- Event Date: Add the date of your event. (Or in the case of a recurring event, the start date.)
- Time: The beginning time of your event
- TBA: Choose this ONLY if your event time is to be announced
- All Day: Select this ONLY if it is an all day event
- If you have multiple times for your events (Any event that has a matinee, for instance, as well as an evening performance), you must enter the matinee performance separate from the evening performance. You can only choose one "start" time for each event entered. Please see Event Recurs and the weekly method)
- No End time: This is a preferred method - please check this OR...
- End Time: Add the end time of your even if you wish
- Event Recurs: It is easy to add multiple dates with a few simple hints...*** Using the weekly option is the best method to add multiple-day performances for theatres, the Symphony, Ballet and Opera, etc....
- Is this a one-time performance - then choose NO this event does not recur. And you will not see the other options below...
- Does your event recur daily - do you have an event every day of the week? Then select YES and you will be given an option of how many days it recurs. Not a preferred method.
- ** Does your event recur weekly? Choose this PREFERRED option and a list of days of the weeks will appear. Use the CONTROL key to select the days that your event runs.
- If you are a theatre, for instance, and your event runs Tuesday through Sunday weekly, use the CONTROL to key to select all of the days it runs.
- If your event runs for two or three days, choose this option and select the days of the week your event runs.
- Does your event run monthly? Choose this and you will be given an option to add which day of the month your events runs and for how many months. Not a preferred method.
- Recurs Until: Add the end date of your event. The calendar will automatically populate with all of your event dates. Remember, if you have multiple times (i.e. a matinee performance), you must enter EACH TIME as a separate event and choose the days that TIME runs.
- Categories: Pick the category (or choose several categories by using the CONTROL key) that best suits your event.
- Location: From the drop-down menu, select the location of your event.
- If you do not see your location, please email info@kcmetropolis.org with the name of your event, the name of the location and the address. We will add it to the list and also into your event.
- Contact Name: This is optional
- Contact Phone Number: Your BOX OFFICE number
- Contact Email: Again optional, if you would like an additional way to be contacted OR you do not have a website or box office number, use this function.
- Contact Web Address: Your website (Please note that you must add http:// to the beginning of your url or this link will NOT work.)
- Contact Organization: The name of the presenting organization. This information will appear on the Listing page and also on the Event page. Please use your full name.
- Description: Please note that there is not a spell check function in the box. It is advisable to compose this in WORD (in 12 pt New Times Roman) and then copy and paste (use CONTROL C and then CONTROL V) it into this box. All of your formatting will come in when pasted. Or you can underline, bold or italize in the box. No more than 100 words. Make your description short and sweet.
Please note - although there is an area to load graphics - this feature does not work with KC Events.
